Minutes of last meeting

1. No feedback re integration of database with treasuring. Not ideal.

2. Trip charges need to be corrected in the Bulletin. (Will be taken out of Bulletin in fact next issue if possible)

Proposals for new financial structures will be completed in time for next AGM - the group needs support, with Charlie Fisher bearing brunt of burden of work. A spreadsheet suggests trip charges on highest banding too high and Band A too low. People may be going on trips because it is cheaper than staying at home. Review group needs to thrash out these issues.

Janet Saunders offered to get involved as third person

* Target date - beginning of June for ideas to be put to committee group, so it can be tweaked at July meeting. To be adopted by AGM ideally - ratified there.

 

3. Membership Secretary - everything up to date including reminders but Gill needs more control over IT - Dave Jefferies to transfer all the technology to Gill

4. Bulletin Editor - Sally’s first issue published Feb., happy with it.

5. MIS - review group. Review group hasn’t met. Gill did ‘Who’s Who’ page. Jan Lancaster’s email address needs to be changed. Arthur to sort out his e-mail with Dave Jefferies.

a. Diary format needs to be altered

b. Membership/trip forms need to be up dated

c. Semi permanent information needs to be transferred to a new sheet

d. No enquires yet about colour printing

MIS review group to action these points this month, March.

6. National Trip Secretary

Checked Arthur happy with what asked to do. All trips to go in diary - with 2 dates - date of trip and the date 6 weeks before when the trip will be cancelled if there is no organiser.

Trip organiser pack sorted out - but not all the pages on website. Need to know how to do the treasuring - need the other pages.

Technical - need to be available elsewhere.

· Need to get the extra pages from person. Get some to Jan. Need to be included for Regional contacts. Arthur will be supplied with them - Adrian/Angela to get them.

Diary will be in strict date order.

7. All officers get dedicated email. Regional contacts need to have dedicated email addresses. Gill will contact Dave and get them.

9. Access

Jan, can we ask Charlie & Chris to find out about the mass trespass and arrange it to be advertised. March NC meeting backs doing trespass in Forest of Bowland. Can utilise Bulletin, MIS, website to advertise it.

10. Voting structure- attempts to generate discussion has been unsuccessful. Three is a need for proposals to be generated by June or proposals may not be presentable at AGM. Proposals which emerge after July will not be able to be discussed at a NC meeting before being debated at the AGM.

Discussion groups - not gone ahead. Everything going to Gill Cox as nothing back. Still support in NC for this investigation re: delegates voting to go ahead. Is it happening or not?

Need to confirm with Colin whether it is going ahead. If not proposals by June, proposals won’t be able to be put forward at AGM.

Contact Regional Reps to discuss it at meetings. Nothing will change is no suggestions. Need Manchester/Sheffield/London/Leicester to have proper meetings.

We need definite proposals re:

By beginning of June these groups will report back.

If proposal doesn’t come to July NC meeting Committee cannot discuss it fully.

11. Thirlmere- Gill to attend auction and report back.

12. AGM-Edale Village Hall booked. Campsite 2 minutes walk away. Alternative accommodation e.g. Youth Hostel, B & B, pubs near at hand. Possible subsidy to encourage attendance at AGM discussed.

Commitments to women only National Trips, are taken out.

Constitutional commitment to ban Nestle foods

Try to identify products such as Nestle that we would rather not use on trips

Trips for families have been removed but families should be encouraged to enjoy trips

Meeting on 4-6th July to discuss training and including a training weekend

National Secretary Report

1. Invite to BMC AGM and Annual Dinner - Angela to go

2. Open Spaces - regional

3. BMC subscription needs to be paid now. Clarified need to pay MC of S.

Fortunately despite difficulties balances fairly stable

No forward planning, budgeting. Steady but not innovative

National Trips - Arthur

1. Lagangarbh- 14 gone. Underway at present. Cars used efficiently can be cheaper than public transport

2. Bowderstone Cottage - hopes it will be successful. Jan willing to offer basic -navigation training 18-25 April.

3. Arthur to book George Starkeyhut, Patterdale, for Easter 2004.

Encourage people to go on other region’s trips.

When we list trips don’t need to worry about which region.

All trips open to all regions - go on semi permanent insert in chronological order

Interest Applications from 2 people for Mill Cottage trip.

Arthur will ask one of them if they can organise.

Jan happy but wonder about transportation without a reliable transport system. Won’t arrive at destination.

Need personal handover.

Please confirm he can transport it to designated person reliably.
